Terms of Service
Last updated: 29 July 2026
These terms govern your organisation's use of ExpiryBoard. Please read them before creating an account or subscribing.
1. Agreement to these terms
ExpiryBoard is provided by Lamb Building Consultancy Ltd, International House, 64 Nile Street, London, N1 7SR, United Kingdom (registered in England and Wales, company number 14819400) ("we", "us", "our"). Your contract for the service is with Lamb Building Consultancy Ltd. By creating an account or using ExpiryBoard you agree to these terms on behalf of your organisation. If you do not agree, please do not use ExpiryBoard.
In these terms, "you" means the organisation using ExpiryBoard and the users acting for it, and "the service" means the ExpiryBoard application and website.
2. Business use
ExpiryBoard is provided for use by businesses and other organisations, not by consumers. By using the service you confirm that you are acting in the course of a business and that you are authorised to accept these terms for your organisation. Consumer cancellation rights do not apply.
3. Your account
You are responsible for keeping login details confidential and for all activity carried out under your account. Please tell us promptly if you believe an account has been accessed without permission. Accounts are for named users and must not be shared.
4. Organisations and invited users
Each account belongs to an organisation. The organisation owner can invite other users, manage members and manage the subscription. Owners and administrators are responsible for who they invite and for removing people who should no longer have access. Invited users can see the records belonging to that organisation.
5. Your content
You are responsible for the information and documents you add to the service, including their accuracy and your right to store and share them. You must not upload content that is unlawful, infringing, malicious, or that you are not permitted to hold. You should keep your own copies of anything important to you.
6. Acceptable use
You must not:
- access, or attempt to access, another organisation's data;
- probe, disrupt or overload the service, or attempt to bypass any security or access control;
- copy, modify, decompile or reverse engineer the service, or attempt to derive its source code, except to the extent this cannot lawfully be restricted;
- use the service, or information obtained from it, to build or assist in building a competing product;
- scrape, crawl or extract data from the service by automated means, other than through any interface we provide for that purpose;
- use the service to send unsolicited, unlawful or abusive email;
- resell, sublicense or white-label the service without our agreement.
We may suspend or restrict access where we reasonably believe these rules are being broken, or where continued use presents a security or legal risk. Where practicable we will tell you first and lift the suspension once the issue is resolved.
7. Subscriptions, pricing and billing
Paid subscriptions are billed in advance, monthly or annually, at the price shown when you subscribe. Payments are processed by our payment provider; we do not receive or store your card details. Prices exclude VAT and other applicable taxes unless stated otherwise. We may change our prices and will give reasonable notice before a change applies to your next renewal.
8. Free trial
New organisations receive a free trial without entering card details. When the trial ends, a paid subscription is required to continue adding or changing records. Trials are provided as they are, with no warranty, and we may change or withdraw trial terms for new sign-ups.
9. Renewal and cancellation
Subscriptions renew automatically at the end of each billing period until cancelled. You can cancel at any time from the billing portal. Cancellation stops future renewals; your access continues until the end of the period you have already paid for. Fees already paid are non-refundable, and we do not provide pro-rata refunds for part-used periods, except where required by law.
10. Failed payments and suspension
If a payment fails, our payment provider may retry it and we may allow a short grace period. If payment is still not received, access to the service may be limited or suspended. We do not delete your data because of a failed payment; restoring payment restores access.
11. Ownership of your data
You retain ownership of the records, documents and other content your organisation puts into ExpiryBoard. You grant us a non-exclusive, worldwide licence to host, store, copy, transmit and display that content only as needed to operate, secure, back up and support the service for you, and to comply with the law. That licence ends when the content is deleted or your account is closed.
12. Service availability
We aim to keep ExpiryBoard available and reliable, but we do not promise uninterrupted or error-free service. Maintenance, updates, connectivity problems and issues affecting our suppliers can cause downtime. We do not currently offer a contractual uptime guarantee. Except as expressly set out in these terms, all warranties and conditions implied by law are excluded so far as the law allows.
13. Reminders are a prompt, not a compliance system
ExpiryBoard is an organisational aid. Reminder emails are intended to help you keep track of dates and must never be relied on as your sole compliance control. Reminders depend on the dates and email addresses you enter and on email delivery outside our control, so they may be delayed, filtered as spam or not delivered at all.
You remain solely responsible for your own compliance obligations, checks and record keeping. We do not guarantee that using ExpiryBoard will make your organisation compliant with any legal or regulatory requirement, and we give no warranty that any particular reminder will be generated or delivered.
14. Intellectual property
We (and our licensors) own the ExpiryBoard software, branding, website and all related intellectual property rights. These terms grant you a non-exclusive, non-transferable, revocable right to use the service during your subscription for your own business purposes, and nothing more. If you send us feedback or suggestions, we may use them freely without obligation to you.
15. Confidentiality
Each of us may receive non-public information from the other. Both of us agree to keep that information confidential, protect it with reasonable care and use it only to provide or use the service, except where disclosure is required by law or the information is already public through no fault of the recipient.
16. Termination
You may stop using ExpiryBoard and cancel your subscription at any time. We may suspend or end your access if you materially breach these terms and do not put it right within a reasonable period after we ask, or if we stop offering the service, in which case we will give reasonable notice.
17. Export of your data after termination
You can export your data at any time while your account is active. For a reasonable period after termination, and where reasonably practicable, we will help you obtain a copy of your data on request. After that period we may delete it in line with our Privacy Policy, so please export anything you need before you close your account.
18. Liability
Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.
Subject to that, and because ExpiryBoard is a low-cost organisational tool rather than an insurance, advisory or compliance service, our total aggregate liability to you for all claims arising in any twelve month period, whether in contract, tort (including negligence), breach of statutory duty or otherwise, is limited to the total amount you paid us for the service in that period.
We are not liable for indirect or consequential loss, or for loss of profit, revenue, business, goodwill, anticipated savings, opportunity, data or the cost of substitute services, including any such loss arising from a missed expiry date, a delayed, undelivered or inaccurate reminder, downtime, or information you entered incorrectly.
19. Events outside our control
Neither of us is liable for failure or delay in performing our obligations (other than payment obligations) caused by events beyond our reasonable control, including internet, hosting or communications failures, cyber attack, power failure, government action, industrial action or natural events. If such an event continues for a prolonged period, either of us may end the subscription on written notice.
20. Survival
Clauses that by their nature should continue after these terms end will do so, including ownership of your data, intellectual property, confidentiality, liability, governing law and any fees already due.
21. General
These terms, together with our Privacy Policy, form the entire agreement between us about the service. You may not transfer your rights under these terms without our consent; we may transfer ours to a group company or to a buyer of our business. If any provision is found unenforceable, the rest remains in force. No third party may enforce these terms.
22. Changes to these terms
We may update these terms as the service develops. Material changes will be notified in the application or by email before they take effect, and the date at the top of this page shows when the terms were last updated. Continuing to use the service after that date means you accept the updated terms.
23. Governing law
These terms and any dispute arising from them are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
